Welcome to Mind Space, an AI-powered journaling and memory app developed by Conscious Living ("we," "us," or "our"). We built Mind Space on a foundational belief: your thoughts, reflections, and memories are deeply personal, and you should always be in control of them.
This Privacy Policy explains what information we collect, how we use it, where it is stored, and what rights you have over your data. By downloading or using Mind Space, you agree to the practices described in this policy.

The information we collect depends entirely on how you choose to use the app. Mind Space is designed to work fully offline with no account required.
a) Data You Create Locally
When you use Mind Space, the following data is created and stored only on your device by default:
This data never leaves your device unless you explicitly enable cloud sync or use voice transcription.
b) Voice Recordings (Groq API)
If you use the Voice Dictation feature, your voice recording is temporarily transmitted to Groq via their secure API for transcription using the Whisper large-v3 model. The audio is sent solely for the purpose of converting speech to text.
Voice Dictation requires an active internet connection and is entirely optional. You can always type entries manually without any data leaving your device.
c) Optional Cloud Sync (Firebase)
If you create an account and enable cloud sync, your journal entries and associated metadata are stored in Google Firebase Firestore. This is strictly opt-in — cloud sync is never enabled by default. The following data may be synced if you choose to enable this feature:
d) Account Information
If you choose to create an account (required for cloud sync), we collect your email address and a display name via Firebase Authentication. You may also sign in using Google Sign-In, in which case Google provides us with your name and email address.
e) Weather Data
The Wellness Insights section displays local weather information. This is fetched from the Open-Meteo API using your device's approximate location (latitude and longitude). We do not store your location data on our servers, and the request is made directly from your device to Open-Meteo's public API.
f) Usage and Analytics
We do not use any third-party analytics or tracking SDKs. We do not collect crash reports that contain your personal data. Firebase may collect basic, anonymized usage metrics (such as app open events) as part of its standard SDK operation. You can review Google's data practices at firebase.google.com/support/privacy.

Local Storage (Default)
By default, all your journal data is stored locally on your Android device using the app's internal storage. This data is protected by Android's application sandboxing model and is not accessible to other apps. If you uninstall Mind Space, your locally stored data will be deleted unless you have enabled cloud sync or exported your data beforehand.
Cloud Storage (Optional — Firebase Firestore)
If you enable cloud sync, your data is stored in Google Firebase Firestore, a cloud-hosted NoSQL database. Data is encrypted in transit (TLS) and at rest. Firebase Firestore data is stored in Google Cloud data centers, primarily in the United States, unless a regional configuration is specified. By enabling sync, you acknowledge that your data will be stored on Google's infrastructure subject to Google's Privacy Policy.
You can disable cloud sync at any time from the app's Profile & Settings screen. Disabling sync stops future uploads but does not automatically delete data already stored in Firestore. You may request deletion separately (see Section 7).
Mind Space integrates with a small number of third-party services to deliver specific features. Here is a transparent breakdown of each:

We do not integrate with any advertising networks, social media trackers, marketing platforms, or data brokers. The only third-party services Mind Space communicates with are the three listed above, and only when you use their corresponding features.
We do not sell, rent, trade, or share your personal data with any third parties for commercial purposes. Your journal entries, mood data, and personal information are never shared with advertisers, data brokers, or any other external entities.
The only circumstances in which your data may be disclosed are:

You have full control over your data. Mind Space is designed to make exercising these rights straightforward:
Export Your Data
You can export all your journal entries and memories as a .json file at any time from the Profile & Settings screen. This export includes all content, tags, timestamps, and mood data.
Delete Your Data
You can delete individual entries from within the app at any time. To delete all locally stored data, use the "Clear All Data" option in Settings. If you have cloud sync enabled, you must also request deletion of your Firestore data by contacting us at support@mindspace.app or by using the "Delete Account" option in the app, which removes your Firebase account and all associated cloud data.
Opt Out of Cloud Sync
You can disable cloud sync at any time in the Profile & Settings screen. Once disabled, the app returns to fully local operation. Your existing cloud data remains in Firestore until you request its deletion.
Opt Out of Voice Features
Simply do not use the Voice Dictation feature. No audio is ever recorded or transmitted without you actively tapping the dictation button.
Access and Correction
You can view, edit, and correct any data stored in the app directly through the app's interface at any time.
Account Deletion
To permanently delete your account and all associated cloud data, use the "Delete Account" option in Settings or contact support@mindspace.app. Account deletion is irreversible.
Depending on your country of residence, you may have additional rights under applicable data protection laws (such as GDPR or CCPA). To exercise any such rights, contact us at support@mindspace.app.
Mind Space offers a Guest Mode that allows you to use the app without creating an account. In Guest Mode:
Guest Mode data is tied to the device. If you uninstall the app, all Guest Mode data will be permanently deleted. We recommend exporting your data before uninstalling if you are a Guest Mode user.
Mind Space is not directed at children under the age of 13 (or under 16 in the European Economic Area). We do not knowingly collect personal information from children under these ages.
If you are a parent or guardian and believe your child has provided personal information through Mind Space, please contact us immediately at support@mindspace.app. We will take prompt steps to delete such information from our systems.
Users between the ages of 13 and 18 should review this Privacy Policy with a parent or guardian before using the app.
We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal obligations. When we make material changes, we will:
Your continued use of Mind Space after any changes to this policy constitutes your acceptance of the updated terms. If you do not agree with a material change, you may discontinue use of the app and delete your account at any time.
